How to use this template

  1. 1

    Issue early warning notices as soon as you become aware of any matter that could increase defined cost, delay Completion, or impair performance of the works — do not wait until you can quantify the full impact.

    Complete the notice header fully, including a sequential EWN number and the date of issue. Send the notice to the contractor's project manager (as named in the contract data), not just the site manager.

    In the event description, be specific and factual. Name the programme activity, design submission, or contract obligation that has not been met. Attach supporting evidence — an email, programme extract, or photograph — where available.

    Provide a preliminary estimate of cost and programme impact. You do not need a precise figure at this stage — a reasonable estimate with a clear explanation of your assumptions is sufficient to meet the NEC4 obligation.

    Explicitly request that the matter is entered on the risk register and, if urgent, request an early warning meeting. State clearly what action you require from the contractor's PM.
